General

How do I change the colors for my meetings?

To change your meeting colors, go to Tools -> Options.... -> Agenda tab -> Colors. Under Color Settings, you can set your meeting colors to reflect Attendance Status, Importance Level, or Ownership.You can customize the default color settings listed below by clicking on the color swatch to the left of the description, choosing another color, and clicking OK. Also, note that Importance Level color-coding corresponds only to the Importance Level set by meeting owners; invitees cannot change the Importance Level on their own agendas.

If you select Attendance Status, your meetings will be colored as follows:

Accepted Entry green
Unknown Status yellow
Refused Entry red
Accepted Tentative Entry dark green
Unknown Status, Tentative Entry dark yellow
Refused Tentative Entry dark green


If you select Importance Level, your meetings will be colored as follows:

Highest Importance red

Why aren't my new settings saved when I change them in the Options menu?

When you exit Oracle Calendar by closing all its windows, settings such as window size or color preferences, are not saved. To make these settings permanent, you need to exit Oracle Calendar by going to File -> Exit (on Windows) or File -> Quit (on Macintosh).

Why can't I sign in to Oracle Calendar?

On the Oracle Calendar Sign-In screen, verify that the Connect to field is set to calendar.uiuc.edu and not Offline.

How do I get an Oracle Calendar account?

Contact your departmental Oracle Calendar coordinator to request an account. If you're not sure who your departmental Oracle Calendar coordinator is, ask your business office or send email to consult@illinois.edu.

How do I reset my Oracle Calendar password?

Use the CITES Password Manager to change your Oracle Calendar password.

How long are appointments kept in Oracle Calendar?

Appointments and tasks are kept on the Oracle Calendar server for 13 months (400 days). If you wish to keep copies of the appointments for a longer period of time, you'll need to save the appointments in a different format. For instructions on how to export Oracle Calendar data into text format readable by Microsoft Excel, please see Archiving Oracle Calendar Agendas.

How does Oracle Calendar handle holidays?

When holiday information comes from the Vice Chancellor, it gets entered as Holidays in all users' Oracle Calendar calendars. These will appear as New Entries in the in-tray where you can accept them or not according to your needs. For your convenience, University holidays also will be added to the University Holiday Event Calendar. From there, you can select them as meetings, notes, or events.

How many concurrent Oracle Calendar sessions can I have (e.g., from how many different workstations can I be signed into Oracle Calendar at once)?

Currently, you can have an unlimited number of concurrent sessions.

What is the difference between a Daily Note and a Day Event?

A Daily Note is like a Post-it® note. You can use it as a reminder of something you need to do that day. For instance, if you have a task that needs to be done every day or every week, you can add a Daily Note. You also can use a Daily Note to let your team or other staff know when you will be out of the office. A Daily Note does not block out any time on your agenda.

A Day Event is used to remind you of something that is occurring for an entire day (e.g., a conference that you are attending). Keep in mind that a Day Event does not block out time on your agenda.

Whom do I contact to change my Oracle Calendar directory information?

Most of the user data for your Oracle Calendar account came from University Human Resources via the Illinois Directory. If you need to change your name such that it applies across all University-related business, you'll need to contact Human Resources. Oracle Calendar data is synchronized periodically with the Illinois Directory data; thus, official name changes made through Human Resources will be reflected in Oracle Calendar after a data synchronization. To change only your first name in Oracle Calendar, you may send an email request to consult@illinois.edu.

Is there a search feature in Oracle Calendar (e.g., to look for all appointments with JDOE)?

Yes. To do a search, go to Tools -> Search Agenda, or use the keyboard shortcut Ctrl + F.

Can I prevent Oracle Calendar from sending me email notifications when someone creates an appointment for me?

Yes. To do so, go to Tools -> Options -> Scheduling -> Receive Notification. Deselect Allow people to send me notifications by email for new entries. Bear in mind that if you do not allow email notification, you may not get late-breaking notification of meeting changes.

How do I get Oracle Calendar to automatically sign in for me?

Select Tools -> Manage Connections and check the box Enable Automatic Sign-in.

Can I access more than one account from the same machine using the Windows client?

Yes, you can. But, Oracle Calendar remembers only the last user logged in and the folder containing that user's agenda. Oracle Calendar presents an error message each time a user different from the last one tries to sign-in to the same machine. For instructions on how to respond to the error message, please see the answer to Why do I get the error message: "The current offline agenda belongs to someone else. Please select another location for your offline agenda."

Address book

Can I import my Eudora address book into Oracle Calendar?

No. At this time, the Oracle Calendar address book does not support input from the Eudora address book.

Is there a search feature in the Oracle Calendar address book?

Yes. In the address book, go to View -> Set Filter and perform your search. To turn it off when you're finished, choose View -> Remove Filter.

Agendas and scheduling

Is it possible to view my Oracle Calendar agenda from the road, home, or another office?

Yes. The easiest way is to use the web client, which is accessible from any web browser without the need to install any Oracle Calendar software. For more information about web access to Oracle Calendar, please see Using Oracle Calendar on the Web.

Why can't I delete certain agenda entries on my calendar?

You can delete only those entries you own (shown in blue if your meetings are color-coded by Ownership). To delete an agenda entry, select it and either choose Edit -> Delete Entry or press the Delete key (on Macintosh: choose Edit -> Cut Entry or press ctrl/Delete). If you've invited others to the event, the entry will get deleted in their agendas as well.

You can't delete appointments that someone else has added to your agenda (shown in pink if your meetings are color-coded by Ownership). Only the owner (or his/her designate) can delete the appointment. If you don't plan to attend, double-click on the meeting to view the entry, click the Reply tab, and select I will not attend. The declined entry will still appear on your agenda (by default) unless you go to Options -> Agenda -> Display and deselect Display Declined Entries. With this option deselected, declined entries will not appear on your calendar, but they'll still be present electronically.

I tried to schedule a repeating meeting, but only one meeting appeared on my agenda. What's wrong?

After selecting a frequency (e.g., weekly, monthly) and filling in start and end dates, don't click OK yet. Instead, first click the List Dates button (in the right half of the window, near the bottom). The large white box at the bottom of the window shows all the dates that have been scheduled. Then, click OK. Oracle Calendar will not prompt you if you forget the List Dates step.

I scheduled a meeting, but now I can't delete it.

You may have scheduled the meeting while working as a designate instead of scheduling it from your own agenda. Look in the in-tray under New Entries. The account that created the meeting will be listed there.

How can I change the time of a repeating meeting? When I dragged this week's meeting to a new time on my agenda, Oracle Calendar didn't ask if I wanted to move all the future meetings.

By default, any changes you make to the entry (such as adding or deleting invitees or modifying the title) will apply only to the dates you select in the list box. To modify all instances of a repeating entry:

  1. Select an instance of the repeating entry, and click Edit -> Edit Event.
  2. Make the necessary modifications.
  3. Click Tools -> Apply To All.
  4. In the Apply To All dialog box, select which elements of the modified entry you want to apply to all instances of the repeating entry. Where applicable, your settings for each element are displayed.

I accidentally deleted some appointments. How do I restore my Oracle Calendar agenda?

At this time, there's no way to restore individual agendas.

Is it possible to schedule non-Oracle Calendar users in a meeting?

You cannot actually schedule a non-Oracle Calendar user in a meeting. However, you can add any email address you wish to your distribution lists, and you can notify any Internet user about new or modified agenda entries. You also can attach ical/vcal files to your message.

When I sign in to Oracle Calendar, why can't I see other users' schedules?

On the Oracle Calendar Sign-In screen, verify that the Connect to field is set to calendar.uiuc.edu and not Offline.

Is there a limit to the number of people I can schedule in a meeting at one time?

There is no limit; however, only the first 100 attendees will receive email notifications.

Our departmental secretary is leaving. How do we handle all the appointments that he/she created?

If the secretary is leaving UIUC, the best option is to rename the account to a "fake" ID until the new person is hired.

If the secretary is just changing departments within the University, you may want to see if the secretary would agree to renaming the existing account to a "fake" ID for use by the new secretary and creating a new account for the current secretary. This would mean that the current secretary would need to manually recreate any personal appointments in his/her new account.

How do I view the distribution list and attendees' responses?

Double-click on the event and, under the General tab, select People/Resources (on Macintosh: Participants). Their responses are indicated by the response icons.

I'm taking a day of vacation and want to let my supervisor know I'll be gone. How can I do this without scheduling his/her time off also?

First, schedule the vacation day on your agenda as usual. Then, click the New Daily Note icon. Fill in the note information (e.g., Jane Doe is on vacation today). In the People/Resources field, type the name of your supervisor and click the green checkmark. Finally, click OK to add the note.

Declined calendar entries appear on my calendar. How do I not display them?

Go to Tools -> Options -> Agenda -> Display and deselect Display Declined entries. With this option deselected, declined entries will not appear on your calendar, but they'll still be present electronically.

Why am I getting double-booked in meetings?

You can get double-booked in meetings if you don't give other Oracle Calendar users access to view your busy times on all types of appointments.

By default, others may see your busy times for Normal, Confidential, and Personal appointments. This means that other users can see your busy times, but not any other information about the meeting. For instance, if I look at your agenda and you have a meeting from 8:00-9:00, I see an appointment displaying 8:00-9:00 and no other information. However, when you look at your own agenda, you see 8:00-9:00 plus the details.

We have found that many people have set No Viewing rights for Confidential and Personal appointments. With this option set, if someone else opens your agenda or does a Group View, they will not see the busy times for any Confidential and Personal appointments (which means that your agenda appears to be free, even if you have Confidential and Personal appointments scheduled). A check for conflicts does not signal that there is a Confidential or Personal appointment on your agenda.

To avoid scheduling conflicts, we suggest that you give Any unlisted person access to View times only for all types of appointments. To verify or change your settings, go to Tools -> Options -> Access Rights and click the Viewing tab. To set your access rights as we've suggested, View times only (Macintosh: Times Only) should be checked next to Normal Entries, Confidential Entries, and Personal Entries, and Default: Any unlisted person should be highlighted in the bottom white box.

I've set my weekly/monthly agenda to display M-F. However, when I print, I get Sun-Sat.

Go to File -> Print -> Options (on Macintosh: File -> Print Preview -> Options.) Select either the Weekly or Monthly tab to modify the various settings for the printouts. You can either select or deselect to include work days only for the printouts. The viewing and printing preferences are independent of each other.

Why is it that the Check conflicts and Suggest a date/time buttons don't always show a conflict when someone on my guest list already has something scheduled?

People who can't view times also can't check conflicts. One of your guests may not allow you to see whether he/she has a conflict. Check conflicts also ignores what users have indicated as their normal/extended hours, but Suggest a date/time does not.

Can I do a Group View to see people/resources for whom/which I do not have Scheduling rights?

Yes. Group View allows you to view the schedules of people and resources for whom/which you do not have Scheduling rights.

Is there a limit to how many people I can view in a Group View?

You can view up to 20 people in Group View. If you frequently schedule meetings for large groups of people, Oracle Calendar offers an easier method than Group View. For more details, please see "Managing Groups in Oracle Calendar."

I scheduled a meeting for several people, but am not an attendee. How can I modify/delete this meeting when I can't see it on my own agenda?

Open your in-tray and click on Entries you've sent out. The meeting should be listed, and you can modify/delete it from there.

I scheduled a group meeting, but am not an attendee. I've now been asked to modify/delete the meeting, but I can't remember who the attendees are in order to find the meeting.

If you scheduled the meeting from your agenda, the meeting will be listed in your in-tray under Entries you've sent out. If you scheduled the meeting as a designate, the meeting will be in the designate's in-tray under Entries you've sent out. You can modify/delete the meeting from the in-tray.

I scheduled a group meeting for my supervisor and several other attendees. I now need to change/delete the group meeting, but I can't.

There are several possible explanations for this. Did you schedule the meeting

  1. from your agenda,
  2. as your supervisor's designate, or
  3. as one of the attendee's designates?

First, open your supervisor's agenda and see if you can change/delete the meeting. If not, then open your supervisor's agenda as a designate (ctrl+D) and see if you can delete the meeting. If not, are you a designate for anyone else scheduled in the meeting (ctrl+D)? If so, open their agenda as a designate and change/delete the meeting. If you still can't change/delete the meeting, look in the In-Tray.

What is the maximum number of repeating appointments I can schedule?

150 is the maximum number of appointments you can schedule. For example, if you were scheduling a Monday, Wednesday, Friday weekly repeating meeting, you could schedule it for a year (minus holidays).

What is the refresh rate of my agenda?

The Refresh Rate is how often the client checks the Oracle Calendar server for new entries. The default for new users is 60 minutes. You can set a different default by going to Tools -> Options -> Scheduling -> Receive Notification -> Check for new Entries every ? minutes. You will not be able to set the interval lower than the system default, which currently is ten minutes (this value depends upon the number of system users and, therefore, is subject to change).

You also may choose View -> Refresh All to manually refresh your agenda at any time.

Designates

How do I access the list of people/resources for whom/which I'm a designate?

Press ctrl+D (on Macintosh: Shift+Cmd+O).

How do I give someone designate rights?

Designate settings can be accessed through Tools -> Access Rights and select the Designate tab. For more information on access rights, please see Setting Oracle Calendar Access Rights.

How do I give someone designate rights to a resource?

First, you'll need to sign in as the resource. In the User Name field on the Oracle Calendar Sign-In screen, type r : (r colon with no space) followed immediately by your resource name (e.g., r:LC103). Alternatively, you can use the search feature to find the name of your resource. To do so, in the Password field, type the resource password (that is, the password assigned to the resource when it was added to Oracle Calendar; if you do not know the password, the Oracle Calendar departmental liaison should send email to calendar@uiuc.edu to request that the password be reset). Click OK. After signing in as the resource, go to Tools -> Access Rights and set up the appropriate designate rights, viewing rights, scheduling rights, etc.

Note: When scheduling resources, designates should be sure to schedule it as a designate (ctrl+D); otherwise, other designates will not be able to modify/delete appointments scheduled in this resource. For more information, please see Setting Oracle Calendar Access Rights.

I'm a designate for a resource. Will I get email notifications each time the resource is scheduled?

Resource designates do not receive email notifications when the resource is booked. However, the person scheduling the resource can click on the Resource Designates icon on the Mail Message screen to include the designate(s) when sending an email notification.

Is there a limit to the number of designates I can have?

No, there is no limit.

Error messages

Why do I get the error message "The current offline agenda belongs to someone else. Please select another location for your offline agenda."

Oracle Calendar remembers only the last user logged in and the folder containing that user's agenda. If you have multiple logins, or if multiple users share one machine, Oracle Calendar will present this error message each time a user different from the last one tries to sign-in on that particular machine.

Under "Please select another location for your offline agenda," Oracle Calendar presents you with a default agenda folder name (not associated with your login) that you can select or change to something else. When selecting a folder name, bear in mind that Oracle Calendar does not remember multiple users' agenda folder names and will not prompt you to select this folder again in the future if other users login after your session -- you will need to remember the folder name and select it yourself.

One easy way to remember your agenda folder name is to assign it the same name as your login. To do so, when you get this error message, scroll all the way to the right in the agenda folder selection box and change the last folder name to your login name.

Why do I get the error message: "Server Unavailable."

The Oracle Calendar desktop client requires a persistent connection to the network when working online. If the connection is lost, the "Server unavailable" message will appear and the application will close. To resolve this issue, you need to stay logged in to your network connection when using Oracle Calendar.

Groups

How do I create a public group?

Please see Public Group Accounts in Oracle Calendar for information.

How can I tell who is the owner of a group?

Go to Tools -> Search Directory -> Groups and click on the group you're interested in learning more about. The group owner will be displayed, along with the members of the group.

What is the difference between a Private and Members Only group?

A Private group is a group you create that is available only to you — no other user can see or use the group. A Members Only group is one that you (or someone else) creates that can be seen and used only by the members of that group. The person who created the Members Only group is the only one who can make changes to the group.

When scheduling a group, how do I add/remove someone from that group?

Go to File -> Group view -> Open and select Group. From the Select a Group screen, select the type of group, and then the group. Click OK. The Open Group View screen will be displayed. From this screen, you can add people, groups, or resources to the list of agendas to be displayed. There is a limit of 20 agendas in a group view. Click OK to see all the users' agendas side-by-side (day view) plus the combined column. To add or remove someone from this screen, click on the Group add/remove (people +-) icon. This will bring up the Modify Group screen.

To schedule from the group view, double-click in the combined column and fill out the New Meeting screen.

How do I change the owner of a group?

You may need to change the owner of a group if the original owner has left the University or department, or if someone different has taken over the duties of maintaining the group.

For a Members-only group, follow the steps below (you must be a member of the existing group to change the ownership):

  1. Go to Directory -> Manage Groups... and click the New button.
  2. Type a name in the Group Name field.
  3. Select the Group Type (e.g., Members-only).
  4. Click the magnifying glass icon next to the Add member field.
  5. Click on the Groups tab to select an existing Members-only group.
  6. The members are displayed in the left window. Click the Add all button.
  7. Click OK to return to the New Group window.
  8. Add any additional members.
  9. Click OK to create the new group.
  10. Sign in as the owner of the original group, and remove the original group.

If the group is a Private group, the owner must first change the group from Private to Members-only. Then, follow the steps above.

In-tray

I had an entry in my in-tray that was in the New Entries folder. I moved it to Entries you've accepted. But, when I go to that folder, I don't see the entry.

Each of the sub-folders in the in-tray (except New Entries) has a configurable life. You may need to change your options so that you display a greater length of time in your Entries you've accepted folder. The default shows information for one month. To verify or change your settings, go to Tools -> Options -> In-tray and choose the amount of time you wish to display (e.g., show entries dated from today through the next 6 months).

How is the in-tray ordered (e.g., my new entries don't seem to be in any order — July 4th comes after Christmas)?

The most recently created items appear at the top.

Can I prevent the in-tray from automatically opening on startup?

You can change your startup preferences to choose when you would like your in-tray to be displayed. To change your preferences, go to Tools -> Options -> General -> Startup. The options available under In-tray Startup are:

  • Open In-tray,
  • Do not open In-tray
  • Open In-tray if it was left open on exit.

What is the time span of meetings in the in-tray?

This is a configurable option, meaning that you can choose to keep all meetings from yesterday through next month or from last year through next year as viewable items in your in-tray.

To change your in-tray range, open your in-tray preferences under the Tools > Options menu. Each in-tray folder has a separate set of options that you can set.

Resources

How do I create a resource in Oracle Calendar?

To create a resource, you'll need to request a resource account. Resource accounts are $2 per month. To request an account, contact your departmental Oracle Calendar coordinator. If you're not sure who your departmental Oracle Calendar coordinator is, ask your business office or send email to consult@illinois.edu.

How do I sign in to a resource to set access rights?

In the User Name field on the Oracle Calendar Sign-In screen, type r : (r colon with no space) followed immediately by the resource name ( e.g., r:LC103). Alternatively, you can search for the resource name. To do so, in the Password field, type the resource password (that is, the password assigned to the resource when it was added to Oracle Calendar; if you do not know the password, the Oracle Calendar departmental liaison should send email to consult@illinois.edu to request that the password be reset). Click OK. Once you're signed in to the resource, go to Tools -> Access Rights and set the appropriate rights. For more information on access rights, please see Setting Oracle Calendar Access Rights.

How does Oracle Calendar handle resources?

We have set resources so that they cannot be double-booked. This means that the resources are available on a first-come, first-served basis. If you have the room reserved from 2pm-3pm on a particular date, someone else will not be able to reserve the resource during that time. Note that some resources have different levels of access rights, and designates will decide who gets to reserve the room. You may want to check with the resource designate if you have questions regarding a particular resource. (To find out who is the resource designate, go to Tools -> Search Directory and click on the Resource tab. Type the resource name and click the Search button. Single-click on the resource name and click Information. The contact person for the resource will be listed).

How do I get the location field to fill in automatically?

In the New Meeting or Edit Entry window, leave the Location box empty. In the Add box (further down next to the green checkmark), type r: (r colon with no space) followed immediately by all or part of the room's name. You will be presented with a list of resources that match the location resource you need. The location you select will appear in both the Location box and the list of participants. You will see a blue question mark next to the room's name until the person in charge of scheduling the room confirms that the room is available.

Note that if you had selected a resource that was not a location, it would have appeared in both the Location box and the list of participants. Oracle Calendar does not distinguish between locations and resources.

When I look at the agenda for a resource, it shows the appointment as not confirmed. How do I know that I have the resource reserved?

Oracle Calendar is set up not to allow double-booking of resources. Some departments do not have anyone assigned to confirm each appointment for each resource. Thus, if you see your appointment on the resource's agenda, you should have that room reserved. Some departments, however, do have designates for the resources who confirm and decline meetings.

Security

Is my password encrypted when I sign in?

Yes. Passwords are encrypted for all the native clients, and SSL encryption is used to secure passwords and data for the web client.

How do I encrypt my data?

Oracle Calendar data is already encrypted on the web client. On the native clients, there are two ways to get to the Encryption Method dialog box where you can set your encryption preferences:

  1. From the Sign-in screen, click on Other (to the right of the Connect to field). Single-click on calendar.uiuc.edu and select Edit. This will open the Connection Editor dialog box. Select the last option on this screen: Encryption Method.
  2. If you've already signed in, go to Tools -> Manage Connections and select UIUC Calendar and Edit.

The choices for encryption are: None, Light Encryption, and Affine Cipher. If you want encryption, we suggest Light Encryption since Affine Cipher can slow down server performance. The Light Encryption method scrambles data with a randomly generated key and is very fast. Affine Cipher is slower, but offers much more secure encryption of your calendar data.

Shared accounts

Can we get a shared Oracle Calendar account?

Departments occasionally request an account for several students to share or for scheduling general departmental events. Shared accounts, like user accounts, are $2 per month. To request an account, contact your departmental Oracle Calendar coordinator. If you're not sure who your departmental Oracle Calendar coordinator is, ask your business office or send email to consult@illinois.edu.

How do I sign in to a shared account?

On the Oracle Calendar Sign-In screen in the User Name field, type the shared account name (e.g., CITES-NDO Students). In the Password field, type the password for the shared account. Click OK.

Outlook Connector questions

How does Oracle Connector for Outlook change the Outlook user experience?

Working with Oracle Connector for Outlook is very similar to working with Microsoft Outlook/Exchange. To benefit from the added functionality of the Oracle Calendar server, you must sometimes use new menu options and features that are documented in the Oracle Connector for Outlook online help. While the core functionality of Outlook is not affected, certain Outlook features such as message recall, mail merge, and setting send options are currently not supported.

What are the main differences between the desktop clients, Oracle Connector for Outlook, and the Oracle Calendar web client?

The desktop versions have all of the Oracle Calendar functions. With the desktop versions, you can act as another user with the designate function. The web client does not currently allow you to work as another user or designate; Oracle Connector for Outlook does allow you to be a designate, as with the other desktop clients.

Why are there two online help systems included with Oracle Connector for Outlook?

Since Oracle Connector for Outlook does not change the core functionality of Microsoft Outlook, the procedures documented in Outlook's online help are still applicable to Oracle Connector for Outlook. Features that are specific to Oracle Connector for Outlook are documented in the Oracle Connector for Outlook online help.

How are server-side rules and client-side rules different?

Similar to the Client-Side Rules Wizard available in Outlook, Oracle Connector for Outlook enables you to set server-side rules. Server-side rules are performed directly on the server. Client-side rules are performed only when you are logged in to your mail client. The use of client-side rules often slows down the performance of Outlook.

Since server-side rules are performed on the server, the mail messages associated with rules you set are transferred into the appropriate folders before you even log in to Outlook.

Can Oracle Connector for Outlook users schedule with other Oracle Calendar users?

Yes. Oracle Oracle Connector for Outlook connects directly to the Oracle calendar server's database so that you can schedule with other Oracle Calendar users and benefit from real-time calendaring. Outlook users gain all the benefits of the Oracle Calendar solution, including interoperability with the full range of Oracle Calendar clients (Windows, Mac, Unix, Linux, and web), wireless connectivity, and PDA synchronization tools.

Why do meetings disappear from my Calendar after I decline invitations?

When you decline a meeting, Outlook automatically transfers the invitation to the Deleted Items folder. The Oracle Calendar desktop client handles declined meetings differently. You can set your preferences to show declined meetings in your agenda. If you do, these entries are displayed with the declined meeting icon.

If I am using Oracle Connector for Outlook, can I use ActiveSync with my PocketPC device to synchronize with Oracle Calendar, as I was doing with Microsoft Exchange?

Yes. Oracle Connector for Outlook synchronizes with a variety of PDAs through third-party conduit software. The following sync conduits have been certified for Oracle Connector for Outlook, Release 2 (9.0.4):

  • PocketMirror 2.0.4 or 3.0 (3.0 is recommended)
  • PocketJournal
  • Desktop To Go 2.5
  • Desktop To Go 2.509 (for Outlook 2002 only)
  • PSIWIN 2.3 or 2.31
  • ActiveSync 3.0, 3.1 or 3.5
  • HotSync Manager 4.0 (for Windows XP only)

Can I create recurring tasks and meetings?

You can create recurring meetings but you cannot create recurring tasks.

Can I respond to multiple meeting requests with a single command?

You can respond to multiple meeting requests with a single command if your response is the same for all of them. However, you can respond to instances of recurring meetings only one at a time.

    1. Select all the meeting requests you want to respond to.
    2. Right-click any of the selected meeting requests and select Respond to all.
    3. In the popup list, select Accept, Decline, or Tentative.

How can I prevent my entire day from appearing busy when I accept day-long events?

You can show time as free, tentative, busy, or out of office for day-long events and meetings in your calendar.

  1. Right-click the Day Event in your calendar and select Show Time As.
  2. In the popup list, select Free

In addition to showing your time as free, you can also choose to show time as tentative, busy, or out of office.

Can I set my folder counts to automatically refresh?

Yes, you can choose to have your mail folder counts automatically refreshed when you log in to Outlook. In addition, you can specify how often your mail folder counts should be refreshed during an Outlook session. This information must be set in the Other tab of the Oracle Connector for Outlook Profile Settings dialog box. See the Oracle Connector for Outlook online help for more detailed instructions on automatically refreshing your folder counts.

Can I schedule Oracle web conferences using Oracle Connector for Outlook?

Yes, you can schedule and join web conferences from Oracle Connector for Outlook. The Oracle Connector for Outlook online help describes how to perform these functions.

Why can't I install Oracle Connector for Outlook on Windows 2000 or XP?

In order to install Oracle Connector for Outlook on Windows 2000 or XP, you must have administrative privileges on your computer.

Why does the setup procedure fail when I attempt to install Oracle Connector for Outlook?

This problem occurs because Microsoft Outlook was installed in Internet Only mode. To successfully install Oracle Connector for Outlook, you must install Microsoft Outlook in Corporate/Workgroup mode.

Note: This issue applies only to Microsoft Outlook 2000.

For Outlook 2000:

  1. Start Outlook.
  2. On the Tools menu, click Options.
  3. Click the Mail Delivery tab.
  4. Click Reconfigure Mail Support.
  5. Select the Corporate or Workgroup option.
  6. Follow the on-screen instructions.
  7. Your email configuration is now compatible with Oracle Connector for Outlook.

I've created a new profile but my previous settings and files (personal address book, local mail messages) are not included. How can I add them to this new profile?

These items are stored locally and will be different for each profile you create. However, you can add your personal folders and address book to each profile. See Microsoft Outlook's online help for instructions on how to do this.

How do I optimize performance over slow network connections?

To optimize performance over slow network connections, Oracle Connector for Outlook can disable certain features such as automatic folder refreshes, offline synchronization, and client-side rules. For instructions on automatically detecting slow network connections, see the Oracle Connector for Outlook online help.

The Slow Connection Detection dialog box appears when I launch Oracle Connector for Outlook. What should I do?

If you set Oracle Connector for Outlook to detect slow network connections and select the Prompt option, the Slow Connection Detection dialog box appears when a slow network is detected when the IMAP4 and calendar server are polled at startup.


If you click Yes, some features that require more bandwidth, such as automatic folder refreshes, synchronization on exit, and client-side rules will be disabled.

You can set Oracle Connector for Outlook to detect slow network connections and disable network-intensive features without displaying the Slow Connection Detection dialog box at startup. See the Oracle Connector for Outlook online help for instructions.

How do I skip a server connection when I log in?

Skipping server connections when you log in enables you to avoid connecting to a server you do not have an account for or that is unavailable. Click Skip when the server name appears in the sign-in dialog box.

Note: The dialog box that enables you to skip a server connection will only be displayed if you enter an incorrect username or password, or if a server is unavailable.

Why isn't my Out-of-Office reply working?

When you set an Out-of-Office reply, you must specify an expiration date. Verify that the expiration date you set hasn't already passed (Tools -> Out of Office Assistant). You can extend your Out-of-Office reply by changing the expiration date in the Out of Office dialog box.

Why can't I view attendee availability and response?

If you cannot view attendee availability or attendee response (for meetings and events that you have created), it is possible that the Oracle Calendar Appointment Form is not correctly installed.

Web-specific questions

What are the differences between the Oracle Calendar web client and the Oracle Calendar desktop client?

The web client is not as fully functional as the desktop client. In the web client:

  • Appointments don't appear in grid cells; instead, they appear as a list of items with start and end times (except in the Daily Planner view)
  • you cannot add task attachments to meetings
  • you can't reschedule all instances of a repeating meeting
  • there's no meeting reminder alarm or similar popup
  • there's no in-tray.

I'm using the web client but can't sign in to the calendar server. What should I do?

Your web browser must have cookies enabled in order to sign in to Oracle Calendar for the web.

  • In Netscape, go to Edit -> Preferences -> Advanced and make sure that you do not have Disable cookies selected.
  • In Internet Explorer, go to Tools -> Internet Options -> Privacy tab. Move the cookie level to High or Medium High.
  • In Firefox, go to Tools -> Options -> Privacy button -> Cookies tab. Select the checkbox for Allow sites to set Cookies.

PocketPC questions

When trying to install Oracle Calendar Sync the installer returns the following message: "You must install ActiveSync prior to installing this application."

The Oracle Calendar installer cannot find ActiveSync on your desktop computer, possibly because ActiveSync was not installed, or an unsupported version of ActiveSync was installed. You must install ActiveSync prior to installing Oracle Calendar Sync.

Reinstall ActiveSync or revert to a supported version of ActiveSync. Note that Oracle Calendar Sync supports ActiveSync 3.0 to 3.6.

Why can't I establish a connection between my mobile device and the calendar server?

  • Make sure your mobile device is properly placed in its cradle, and that the cradle is connected to your computer.
  • If you are connecting through a port, make sure no other programs are using the same port as your mobile device.
  • Consult the documentation included with ActiveSync.

Note: The calendar server may temporarily be down or not running properly.

Why is it taking so long to perform a synchronization?

  • If you are performing a Full Synchronization, the process will take longer than normal. See Performing a Full Synchronization for a Plug-in section in the Oracle Calendar Sync for Pocket PC online help for more information.
  • Narrow the date range and the size of details included during synchronization.
  • Select Delete entries outside of sync range from device to help reduce the time needed for synchronization.

Why are some Pocket PC items not displayed in my Oracle Calendar client after synchronization?

  • Because Oracle Calendar Sync for Pocket PC synchronizes your data with the calendar server, you may have to refresh your desktop calendaring application (Oracle Calendar desktop client or Oracle Connector for Outlook) or refresh the web page you are viewing (in Oracle Calendar web client) to view the changes.
  • Make sure you own the entry. If you do not own the entry and attempt to modify it, Oracle Calendar Sync for Pocket PC will discard your modifications during synchronization.
  • Make sure you are running Oracle Calendar desktop client in online mode. If you are offline, you will not be able to view the changes to your calendar until you reconcile your offline calendar with the calendar server.
  • Make sure you have not already changed the mobile device entry on the calendar server, and that you have not given priority to the calendar server when resolving entries that have been modified in both locations (see the Setting Synchronization Rules section in the Oracle Calendar Sync for Pocket PC online help for more information).

Why are some entries not displayed on my Pocket PC after synchronization?

  • Make sure the entries in question are within the date range you specified.
  • Make sure your mobile device and cradle are properly connected.

After synchronizing, why are untitled meetings created with my Pocket PC not visible in Oracle Calendar?

It is a known limitation that either a Note or Location must be specified to create an untitled meeting. Otherwise the untitled meeting will not be created.

Why is my Pocket PC not able to establish a connection with my computer?

It is possible that Oracle Calendar Sync cannot establish a connection with your computer due to a disconnected serial cable or an unavailable serial port. Verify that the serial cable leading from your cradle is properly connected to a serial port on your computer.

Palm questions

Can I sync my Palm with my Oracle Calendar address book at work and at home?

Yes. The Oracle Calendar address book is stored on the server along with your agenda.

Can I sync my Palm with both my Oracle Calendar address book and my Palm Desktop address book?

No. You can sync with only one or the other. When you install the Oracle Calendar conduit, the default is a Typical Install, which includes the Oracle Calendar address book. However, if you wish to sync with the Palm Desktop address book instead of your Oracle Calendar address book (which we recommend, as described above in Why should I sync my PDA with the Palm Desktop address book instead of the Oracle Calendar address book?) during the installation you need to choose Custom and deselect OC addresses.

On my Palm, I'm seeing appointments one month in the future. Can I change the duration?

Yes. On the Palm, you can choose CSSetup and then select the down arrow beside Sign-In -> Dates. You can specify from # weeks in the past to # months in the future.

Can I sync my Palm with my Eudora IMAP Inbox?

CalendarSync HotSyncs only with the Eudora/POP Inbox. It will not HotSync with the IMAP Inbox.

Palm and Windows

When trying to install Oracle Calendar Sync, the installer returns the following message: "You must install Palm Desktop prior to installing this application."

The Oracle Calendar installer cannot find Palm Desktop on your desktop computer, possibly because Palm Desktop was not installed, or an unsupported version of Palm Desktop was installed. You must install Palm Desktop prior to installing Oracle Calendar Sync.

Reinstall Palm Desktop or revert to a supported version of Palm Desktop. Note that Oracle Calendar Sync supports Palm Desktop 3.1 to 4.1.

I just installed Oracle Calendar Sync for Palm. Why can't I synchronize Palm Desktop with my Palm device?

Oracle Calendar Sync software replaces Palm conduits with Oracle Calendar conduits. Palm Address, Date Book, and To Do conduits are replaced with Oracle Calendar address book, events, and tasks. As a result, only Oracle Calendar entries can be synchronized with your Palm device.

Why can't I establish a connection between my mobile device and the calendar server?

  • Make sure your mobile device is properly placed in its cradle, and that the cradle is connected to your computer.
  • If you are connecting through a port, make sure no other programs are using the same port as your mobile device.
  • Close the HotSync Manager and then open it again.
  • Make sure that you are using the right HotSync option in the HotSync application (Network vs. Modem Sync).

  • Verify the port settings using the Setup dialog box (opened from HotSync manager). Make sure no other programs are using the same port as HotSync.
  • Close the HotSync Manager and then open it again.

Why are some entries not displayed on my Palm after synchronization?

  • Make sure the entries in question are within the date range you specified.
  • Make sure your Palm and cradle are properly connected.

Why can't I synchronize my address book with Oracle Calendar Sync?

Any of the following may be the cause of this problem:

  • The Palm address book name does not correspond to the name under which you are logged in. To change the Palm address book name:
    • Tap the Oracle Calendar application icon on your Palm device.
    • Tap the down arrow located at the top right hand corner.
    • Select the Addresses option.
    • Enter the name of your Oracle Calendar address book.
  • The Oracle Calendar client is running while attempting to synchronize.
  • The Palm User field may be incorrectly specified as the short name (e.g., JOHNS) rather than the full name (e.g., John Smith).

I changed a timed event into an untimed event (or vice versa) in my Palm but the change was lost when I performed a HotSync. What should I do?

The calendar application does not support this kind of change. You must delete the event and then create a new one for the calendar application to recognize it after the next HotSync.

What happens to an entry that has been modified in both the calendar application and the Palm when I perform a HotSync?

When a HotSync is done and the Custom menu setting for the calendar application is "Synchronize the files," the entry is duplicated (for more information about the duplication, open the HotSync Log). Simply delete the unwanted entry (either on your Palm or in the calendar application) and HotSync again.

Troubleshooting

What is a MIME-encoded attachment?

If a user creates a calendar entry using Oracle Connector for Outlook and attaches multiple files to the entry, a file named Mime-Encoded-Attachment.txt is attached to the entry in the Oracle Calendar desktop client instead of the files that were attached by the entry owner because currently, the desktop client supports only one attachment per entry. You can, however, view the files without any problems if you open the entry in Oracle Connector for Outlook.

Why do I have problems connecting to the server?

Each of the following may result in problems connecting to the server:

  • The server is down.
  • The password you entered is wrong.
  • You didn't specify a server connection using the Connection Manager. (See the Managing server connections section of the online help.)

Why do I receive scrambled text or no output when I print from the Oracle Calendar Desktop client? (Linux and Solaris only.)

The Linux client supports only postscript-compatible printers. The printer you use must be configured to interpret data in postscript format. Some printer setups interpret data as a text file, and then wrap the file in a postscript header. The result is several pages of printed postscript source code. As a workaround, you can print to file, and then use the postscript viewer to view and print the .ps file.
