Leaving Campus for Faculty and Staff
This page contains information about what happens to a faculty or staff member's accounts when that individual leaves campus.
If you are leaving the Urbana campus, access to email and other network services may still be available to you depending on your circumstances.
Note: CITES system maintenance schedules may allow an account to remain active somewhat longer than the guidelines below. Do not assume that your account will remain active if it has not been deactivated by the given deadline. In addition, keep in mind that violations of University policies regarding computing access may result in the immediate deactivation of your account.

Duration of services for retirees
The year you retire
Your NetFiles account will be continued if your department head authorizes it.
If you have a CITES NetFiles account, you'll need to obtain authorization from a campus department head to keep it active during the first year after you retire.
Every year
- Illinois Directory's email forwarding service continues automatically. You can forward your email to any address you choose.
- Illinois Directory's directory information services continue automatically. Your directory information will indicate that you are retired.
Your Express Email account will remain active if you renew it each year.
You will be asked annually if you wish to renew your email account.
Your option to forward email from your campus email address to a different email account will also remain active. Instructions for using the Illinois Directory email redirection service can be found below under Forwarding email.
Your NetFiles account will remain active if you renew it each year.
As with your email account, you will be asked annually whether you wish to renew your NetFiles account.
The first year after your retirement is the only year in which you will need a department head's authorization to continue your NetFiles account; in subsequent years, your renewal will be accepted automatically.
Faculty and staff who leave without retiring
Disability leave
If you are a faculty or staff member on disability leave, please contact the CITES Help Desk (consult@illinois.edu or (217) 244-7000) to determine what services may still be available to you.
Duration of services after other faculty or staff departures
Within 30 days after you leave
- Express Email built-in forwarding ends; Illinois Directory email redirection continues: The forwarding feature of the CITES Express Email service will no longer function once your Express Email access is terminated. The only way to redirect your campus email is through the Illinois Directory email redirection service.)
- Mailing list subscriptions: If you've subscribed to any mailing lists using your campus email address, you will need to change your subscription before your email account is deactivated. Some mailing lists require you to make subscription changes using the same email address that you first subscribed with.
- Your own computer, or
- An online service such as Google Sites/Google Docs, or
- File storage/web publishing services offered by an Internet Service Provider (ISP).
- Illinois Directory's email forwarding and directory information services continue.
Express Email access is discontinued.
CITES will send a notice to your campus email address 7 days before your email account is deactivated.
Once your account is deactivated, you will not be able to receive or check your email via CITES Express Email.
However, your campus email address (NetID@illinois.edu or NetID@uiuc.edu) will continue to exist for one year after your access has been terminated.
You may use the Illinois Directory email redirection service to redirect any new email you receive at your campus email address to a different email address. Instructions on how to do so are described below under Forwarding email.
Campus network access is discontinued.
At this point, you'll no longer be able to access campus network services, such as UIUCnet Wireless, UIUCnet QuickConnect, Bluestem-authenticated campus web sites, and CITES ICS computer labs.
If you wish to retain Internet access, you'll need to find a new Internet service provider (ISP).
Some options are described below under Finding a new electronic home.
NetFiles access is discontinued.
At this point, you'll no longer be able to log in or access your files. Any web pages you have published will no longer be available to other users.

1 year after you leave
Illinois Directory's email forwarding and directory information services are discontinued.
At this point, Illinois Directory will stop forwarding email sent to your campus email address. Before this time is up, make sure that you have informed your email contacts of your new email address.
Finding a new electronic home
Before you lose your email account and network access, you should make arrangements to establish a new account with another organization. Some options are listed below.
Email accounts for Illinois graduates
The University of Illinois Alumni Association offers all alumni a free, web-based email address and account.
To register for an account, go to http://www.illinoisalumni.org.
If you have questions about the email service or the Alumni Association, please send email to alumni@uillinois.edu or call 217-333-1471.
Other institutions (work or school)
Many institutions, both corporate and educational, provide their members with network access.
Be sure, however, to check the network usage policy of any organization you are joining before moving files or forwarding mail to an account provided by it.
Internet Service Providers (ISPs)
Private ISPs allow you to purchase network access at a variety of speeds for a variety of monthly rates.
Most ISPs provide email addresses and a limited amount of file storage and web publishing space along with the network access you receive.

Forwarding email with Illinois Directory
Once you've established another email account, you may begin forwarding your campus email to your new account by using the Illinois Directory redirection service, which will work for one year after your account is discontinued. The Illinois Directory redirection service will forward any email sent to your campus address (NetID@uiuc.edu or NetID@illinois.edu).
You should always use NetID@uiuc.edu or NetID@illinois.edu as your return address, as email sent to NetID@express.cites.uiuc.edu will not be forwarded and will be rejected after your email account is discontinued.
Note: The forwarding feature of the CITES Express Email service will no longer function once your access is terminated. The only way to redirect your campus email is through the Illinois Directory email redirection service.
To set up email forwarding via the Electronic Directory Editor:
- Go to the Electronic Directory Editor at http://ede.cites.uiuc.edu.
- Enter your NetID and NetID password when prompted.
- If you have more than one entry, you will be presented with a list of entries that you can edit. From that list, select your NetID entry. If you have only one entry, proceed to the next step.
- Find the field entitled email and enter your new email address, complete with the @ sign.
- Click Apply.
- Log out as instructed.
It may take up to two hours for this change to become effective. Once effective, all email sent to your campus email address will be forwarded to the new email address.
